How do you record a temporary absence for a mobile employee?

An absence represents a one-time date range of unavailability, separate from the configured weekly schedule.

01Distinguish the absence

Use the right setting for the type of unavailability

The schedule and an absence serve two different needs. One describes the recurring framework; the other records a one-time exception.

Configured weekly schedule

  • Recurring weekly structure.
  • Open or closed days.
  • Usual start and end times.
  • Territory by day when this feature is available.

Temporary absence

  • A setting in a mobile employee's profile.
  • Start date and end date.
  • A one-time exception over a date range.
  • A range that can be viewed, reset, or saved.

Rule of thumb: use the schedule for the weekly framework and the Absence tab for one-time unavailability.

02Set the range

Select, verify, and save the unavailability dates

The confirmed journey uses only a start date and end date in the documented Absence tab.

Steps to follow

  1. Open the mobile employee's profile.
  2. Open the Absence tab.
  3. Select the start date, then the end date.
  4. Check the displayed range.
  5. Save the unavailability.

Before continuing

If the range is incorrect, cancel or reset the selection before saving.

After saving, confirm that the displayed range still matches the selected dates before proceeding to the calendar.

03Review the calendar

Separately review appointments already present during the range

Once the absence is saved in the profile, separately check whether appointments are already present during the relevant range.

Open the mobile employee's calendar and review the dates included in the saved range.

Identify appointments already present and open each necessary record before deciding on an action.

Determine the appropriate action

Open each relevant record and separately determine the appropriate action based on the available features and your organization's procedures.

Absence recorded ≠ appointments automatically handled

Recording the absence does not prove that existing appointments were cancelled, reassigned, or that customers were notified. Review each record before acting.

Remember: do not delete the profile to represent a temporary absence. After saving, verify the range in the profile and in the relevant journey using authorized data. Do not unnecessarily create or modify a real appointment for testing.
