Add an employee based on what they actually need to do in MapMyStaff.

Start by deciding how the person will use MapMyStaff: in the office or on mobile. You can then create the right account type and apply only the settings that match their work.

01Choose the account type

Start with what the person needs to be able to do

The two account types serve different purposes. Neither is presented as better than the other.

Administrative account

Primarily intended for booking appointments for customers

This journey includes profile information, authentication, account status, and saving.

  • Employee name.
  • Email entered when the account is created.
  • Password set when the account is created.
  • Account activation or deactivation.
  • Booking appointments for customers.
  • Field views and settings are associated with the mobile account in the journey shown.
Mobile account

Intended for the settings and views used in the field journey

This journey adds the settings that structure the employee's day and availability.

  • Name, email, and password when the account is created.
  • Profile tab.
  • Settings tab.
  • Schedule tab.
  • Absence tab.
  • Calendar and field views according to the journey.
02Create the profile

Review the basic information and account status

Regardless of the type selected, confirm the information used to identify the account and allow sign-in.

  • The selected account type matches the journey concerned.
  • The employee's name has been verified.
  • The sign-in email is correct.
  • Authentication information is established when the account is created.
  • The account status is chosen deliberately.
03Configure the mobile account

Complete the settings that structure the day

This step applies to the mobile account. The journey follows the Profile, Settings, Schedule, and Absence tabs before saving.

Work settings

Review the labels available in the interface

These settings may be grouped by theme to make them easier to read. Their effect must nevertheless be checked in the context of the journey being used.

Scheduling

  • One-hour time slots.
  • Start at the first customer's location.
  • Overtime allowed.

Breaks

  • Postpone the meal break.
  • Lunch break.
  • Lunch-break duration.
  • Dinner break.
  • Dinner-break duration.

Time and account

  • Idle time between customers.
  • Employee account active.

Schedule and territory

The configured weekly schedule helps determine the days and hours when the employee may be considered in the relevant journey.

  • Open or close a day.
  • Set start and end times.
  • Apply a time range to several days.
  • Associate a territory with a day only when this feature is available and relevant.

Temporary absence

An absence records a specific date range as a temporary unavailability without changing the configured weekly schedule.

  • Check the start date.
  • Check the end date.
  • Save the absence only when it applies to the period concerned.
04Review and save

Check the settings before using the account

The following list is a reading check. It does not change any setting.

  • The correct account type is selected.
  • The name and email have been verified.
  • The account status is chosen deliberately.
  • Mobile settings have been reviewed when applicable.
  • The days and hours are correct.
  • The territory is associated only when this feature is relevant.
  • A temporary absence is recorded only when it applies to the period concerned.
  • No password, code, secret, or unnecessary personal information is included in a screenshot or support request.
  • The save completes without a visible error.
