Getting started

Train each person for what they will actually do in MapMyStaff.

The guide recommends role-based training for administration, office staff, field teams, and follow-up. For each person, focus on the tasks they will actually perform and the situations they need to recognize.

Immediate answer

Short training should follow the real work

Show the tasks that matter to the role, practise with a representative case, and keep any limits or questions visible before launch.

01Identify the role

Start with the people who will actually use the function

The guide names administration, office staff, field teams, and a follow-up owner. Keep only the roles that match your organization.

Administration

Administration

People who handle the administrative elements included in the prepared scope.

Office

Office

People who coordinate operations or use the functions planned for office work.

Field

Field team

People who use the functions planned for their service days.

Follow-up

Follow-up owner

The person or team that performs the checks and follow-up included in your workflow.

02Choose the tasks

Show only what the person will actually need to do

A person does not need to tour all of MapMyStaff to learn the tasks that are part of their work.

  1. 01Task

Define the action the person will actually perform.

  2. 02Context

Show the page or workflow where that task occurs in your configuration.

  3. 03Expected result

Explain what the person should check before continuing.

  4. 04Question or limit

Identify what still needs confirmation or should be passed to someone else.

03Practise

Use a representative situation instead of a general product tour

Practice should resemble real work without using more data than necessary.

  1. 01Choose a scenario

Use a situation the team recognizes and that has already been prepared for testing.

  2. 02Perform the task

Let the person follow the workflow that matches their role.

  3. 03Compare the result

Check that the result matches what was decided and documented.

  4. 04Record questions

Keep differences and limits visible before changing the configuration or training.

04Confirm before launch

Check the essential tasks before expanding training

Role-based training is part of preparation before launch. Confirm essential tasks, then update training when approved changes affect the workflow.

  1. 01Essential tasks

The person can complete the actions planned for their role in the tested scenario.

  2. 02Expected result

They can recognize the result or state they are expected to check.

  3. 03Known limits

They know which situations still need confirmation instead of handling them by assumption.

  4. 04Update

Training is reviewed when an approved change alters the relevant workflow.
