Getting started

Before configuring MapMyStaff, clarify what actually changes your workday.

Start with a situation your team knows well. Record what can change the result—service, duration, price, area, availability, absence, promotion, or exception—then have unclear points confirmed.

Immediate answer

One real situation is better than a long manual

The guide recommends documenting how the business actually works. Start with a common case, record only what changes the decision, and keep exceptions clearly identified.

01Start with a real case

Begin with a situation your team handles often

A familiar appointment or workday quickly shows which decisions need to be clarified.

Service

What is the customer asking for?

Record the service, expected duration, and any pricing, tax, or promotion details that change this case.

Availability

Who can do the work, where, and when?

Clarify the area, availability, and absences that affect this situation.

Exception

What changes the usual case?

Keep known exceptions visible instead of turning them into a general rule.

02Record what changes

Write down only the decisions that affect the result

You do not need a complete manual. A short note should let another person understand the situation and the known exceptions.

  1. 01Situation

Describe the case using words your team already uses.

  2. 02What changes

Record the services, durations, prices, taxes, areas, availability, absences, promotions, or exceptions that matter.

  3. 03Expected result

State what your team expects to see or be able to do.

  4. 04Point to confirm

Keep anything that is not yet decided clearly identified.

03Have it confirmed

Give each decision to the person who actually knows the workflow

Responsibilities should be clear: the business confirms how it wants to work, and MapMyStaff supports configuration within the agreed scope.

  1. 01Identify the owner

Record who on the business side can confirm this way of working.

  2. 02Separate decision from configuration

First decide what the business wants to do, then check how it is configured.

  3. 03Document changes

Keep a record when a decision or exception changes.

  4. 04Open the right guide

Then use the specialized collection for booking, staff, territories, pricing, or security.

04Check a scenario

Test the rule in a representative situation

Before expanding, verify a real scenario and at least one relevant edge case to see whether the configuration matches the decision.

  1. 01Choose the scenario

Use a situation that represents your operations.

  2. 02Check the result

Compare what is observed with what was decided.

  3. 03Test an exception

Add a less common case that may change the decision.

  4. 04Change one thing at a time

Record the difference before changing another rule or setting.
